Modern market conditions require enterprises to achieve a high level of business process automation in order to ensure competitiveness and operational efficiency. This is particularly relevant for trading companies operating in industries characterized by high seasonal demand, such as the sale and servicing of climate control equipment. The air conditioner market in Ukraine is characterized by stable growth and significant seasonal variability in demand. Companies specializing in the sale, installation, and maintenance of air conditioning systems face the need to effectively manage large volumes of orders during peak seasons while optimizing resources during periods of low activity.

Most small and medium-sized enterprises engaged in air conditioner sales still use outdated sales accounting methods based on manual documentation management and simple spreadsheet tools. Such an approach leads to significant time losses, an increased probability of errors, difficulties in coordination between departments, and the inability to conduct high-quality business performance analysis.

Sales accounting in modern trading enterprises is carried out using various methods that have evolved from traditional paper-based records to comprehensive automated systems. The main methods used for sales accounting in the trade of specialized equipment, particularly air conditioners, are considered below.

The automated sales accounting method using specialized software is currently the most widespread among businesses. This method involves the use of software solutions for registering sales transactions, generating primary documentation, monitoring order fulfillment, and analyzing operational performance results.

The integrated sales accounting method involves combining sales accounting systems with customer relationship management (CRM), enterprise resource planning (ERP), accounting systems, and other enterprise solutions. This approach provides a unified operational environment for all company business units and prevents data duplication and inconsistencies. Modern CRM and ERP systems also allow easy integration into existing infrastructures, as most contemporary platforms provide integration capabilities through built-in APIs.

The omnichannel method represents an approach that integrates all sales channels (offline stores, online stores, mobile applications, and social networks) into a single accounting and transaction mechanism. A unified channel enables consolidated sales tracking regardless of the distribution channel used, allowing customers to interact with the company through their preferred communication channel while receiving a high level of service.

Existing market solutions for automating sales accounting in the climate equipment sales and service sector have their own specific features and limitations. Some specialized accounting software products, such as Poster and TorgSoft, are primarily designed for small businesses and provide only basic functionality for inventory accounting, sales transactions, and warehouse operations. They are relatively easy to deploy and operate for retail activities; however, they often fail to provide comprehensive automation of all business operations associated with air conditioner sales companies, particularly in planning and monitoring installation and service activities. In addition, such solutions frequently lack API support.
